Paystack for Hotels: A Complete Integration Guide

Most of the hotels we talk to already use Paystack for something, whether that's a website deposit form, an invoice link, or a card machine at the desk. Far fewer have it properly wired into the front desk itself, which means someone is manually copying a payment reference from one system into another, or worse, trusting that two separate totals happen to agree at month-end.

What 'properly integrated' actually means

A genuine integration means a payment taken against a guest's folio posts there directly, with no manual entry and no separate export to reconcile later. It means a refund processed through Paystack updates the folio the same day, not whenever someone remembers to check. And it means your finance team can pull a settlement report and match it against your booking system's totals in minutes, not hours.

The three kinds of mismatch you'll actually see

• Timing differences: a payment taken late on a Sunday settles on Tuesday, so it's in one week's folio total and the next week's settlement. Not an error, just a timing gap.
• Fee differences: Paystack's percentage fee is deducted before settlement, so a folio showing the gross amount won't match a settlement showing net, until you reconcile against gross and check the fee separately.
• Genuine mismatches: a refund processed in Paystack but never applied to the folio, or a payment posted to the wrong room. This is the only category that actually needs investigating.

The habit that fixes most reconciliation headaches before they start is simple: apply a refund to the folio the same day it's processed in Paystack. Almost every 'reconciliation nightmare' we've seen traced back to that one habit slipping for a few weeks.
